Donford Approved Repair Centre - Receptionist

Objective of the Position:

To provide a high quality first point of contact for all customers. To assist the administration supervisor in delivering critical administrative services to Donford ARC

Main Responsibilities:

  • Ensure front desk is occupied at all times and customers greeted friendly and professionally
  • Ensure telephone is answered promptly and professionally and calls are transferred to the correct party
  • Take messages and forward via e-mail if staff are not available to take calls
  • Ensure visitors are being attended to timeously
  • Attend to all issues surrounding customer logistics, e.g., drop-off and collect, payment arrangements, etc.
  • Manage bookings for all customers and ensure documentation is ready prior to customer arrival
  • Ensure all check sheets and other relevant documentation are filled in and attached to job cards
  • Receive all payments and issue customer receipts
  • Type and e-mail manual quotes when requested by estimator to do so (as backup to administration clerk)
  • Update OUTsurance and Audawatch customer portals with information supplied by foreman
  • Keep vehicle tracking board updated at all times

Essential requirements: 

  • Senior Certificate (Grade 12) with Maths
  • Minimum of 3 years of front desk experience in a high-volume customer service environment
  • Computer Literacy – basic knowledge of MS Word and Excel
  • Residency in the Helderberg area would be a distinct advantage
